There is a time for everything, and a season for every activity under the heavens.

 

With God’s help, we will so order our lives after the example of Christ , that this child, surrounded by steadfast love, may be established in the faith, and confirmed and strengthened in the way that leads to eternal life.

Registration Policy

  • Student registrations will be held in March, April, May and the first week of June and will be accepted in direct correlation to securing the required number of adult volunteers as work leaders, chaperones, transportation and host homes.
  • Students of adults volunteers will receive priority registration for the event.
  • All forms will be posted to the Creekside website for download prior to registration.

Payment

  • Payment in full is required by June 11.
  • College students are welcome and will not be charged a registration fee. (Please note that graduating seniors will be assessed the standard registration fee.)

Paperwork

  • All documents (insurance card, online signature pages) are required by the beginning of COP.

Cancellation Policy

The following guidelines apply to cancellations & refunds:

  • Notice of cancellation must be received by our COP Leadership or Student Minister in writing (email or postal mail).
  • If student does not check in on the Sunday of COP or chooses to go home early for any reason other than an emergency, fees will not be refunded.

*NOTE: Full or partial refunds after the start of COP will not be issued.

Arrival/Departure Policy

COP starts on Sunday and goes through Thursday morning. Late arrivals and early departures will only be allowed on a preapproved exception basis or in emergency cases that are to be worked out with the Student Minister or the COP Leadership team. Removing a student from his or her family group early or adding a student after the week has begun is disruptive to the group process and to the other students in the group.

The following will be required for students who need to depart for appointments, sports practice, etc.

  • Provide advance notification to COP Leadership or Student Minister via email before the Sunday of COP
  • Sign the Departure log for both departure and return (where feasible)
  • Arrange parental transportation (to and from) according to the student’s schedule
  • COP information book (for late check-ins, early check-outs) should be referenced by parents to determine student pick up/drop off location.

Student Driver Policy

Students who have practices or appointments during COP must provide written notice by check-in on Sunday. Transportation should be arranged in advance by their parents for all such situations, and the student should be picked up and returned to their team’s location.

It is not permissible for students to leave campus during free time or at any other time without advanced permission. Students must sign in and out using the departure log.

COP Leadership reserves the right to send home any student who chooses to leave the Creekside campus without permission during COP.

Should it be necessary to send a student home, the student and adult leader will call the parents, and the parents agree to leave immediately to come to the church or worksite to pick them up.

Medical Policy

  • Parents must check in controlled substances (i.e., ADHD medication, benzos, prescription pain medications, etc.) with the medical liaison at drop-off. If a parent would like for the liaison to administer other prescription or non-prescription medications to his/her child, please let COP leadership or Student Minister know. Any meds turned in by parents should be submitted in a sealed baggie with student's name written legibly with a marker. Instructions should be very specific. Medications will be dispensed by the medical volunteer or work leader, and medications will be stored in the medical room
  • Parents can also choose to send prescription or non-prescription meds with their students to keep with them 
  • Under no circumstances should any medications (prescription or non-prescription) be shared with others
  • During the workday, work leaders will provide initial assessment and provide treatment for minor injuries
  • An on-call volunteer will be available during the day for contact regarding work site injuries where medical attention is in question. This on-call medical liaison will advise appropriate action
  • If student is unable to continue participation in the workday due to injury or other health issue, arrangements will be made for family member or designated caregiver to pick up student until student is able to participate in activities
  • COP will have a volunteer on campus each evening to tend to medical issues
  • A designated area will be established for any injury assessment and treatment
  • The volunteer will assess the injury / accident and apply appropriate treatment
  • If outside medical attention is required, the volunteer will make that recommendation and contact the parents
  • The volunteer will stay with the patient until the parents arrive for pick up

Dress Code Policy

Worksites

  • Long pants are required on the job site where mowers and other power equipment is being used
  • Shorts may be worn to designated worksites
  • T-shirts or other short-sleeved shirts
  • Closed toe shoes are required on ALL the job sites
  • Parents will be notified if your student does not have the required clothing for the worksite. Parents will be asked to bring additional clothing so that your student may participate
  • Students should bring their own work gloves; if you have safety glasses bring those as well
  • One pair of safety glasses per team will be provided with the first aid kit

Evening

  • Dress code is loose-fitting, unaltered T-shirts and loose-fitting shorts. No short shorts will be allowed
  • Undergarments should not be visible, and clothing should be properly fastened
  • We do not allow spaghetti strap shirts, halter tops, or tube tops

Swimming

  • Girls must wear one piece swimsuit appropriate for a church event
  • Boys must wear modest swim trunks
  • At the discretion of the supervising adult, any student may be asked to change or wear a shirt if the swimsuit is deemed inappropriate

Dorming Policy

  • A sleep room will be provided for each gender
  • Students using the sleep room will be allowed to bring only their bedding to the designated room
  • Students may utilize their cell phone to listen to music but earbuds are required
  • Students that do not utilize the sleep room for its intended purpose will be asked to return to their assigned dorm room and will not be allowed to use the sleep room for the duration of the event

In order to help ensure that all volunteers are managing student behavior to the same standard, we are providing some additional guidelines for specific areas. These guidelines are in addition to the instructions volunteers are given in both verbal and written format. The objective is simple – in everything we do, we want to glorify God.

Cell Phones

Cell phones have become an integral part of our lives and we want to balance their use during COP to ensure that students do not lose the focus for the week. To that end, cell phones may be used during free time, to and from the work sites and host home, and at night after lights out.

All cell phone activity must glorify God, and it will be the student’s job to monitor that effectively. Cell phones may be used at night as long as it does not disrupt others in either volume or light. Earbuds are required for listening to music, and students should shield their phones so that its light is not a disturbance to others.

Cell phones may be used during the day ONLY to take pictures but should then be put away immediately. No cell phones should be out AT ALL during worship, including during the speaker's message.

Lights Out

Students should settle down at this time but may not want to go to sleep. As long as they are quiet and not disrupting others who desire sleep, they may engage in phone texting, whispered conversations, etc.

Movies, Music, and Video Games

Movies and video games should be appropriate for COP and follow Student Ministry guidelines. The guideline stipulates that the rating should be G or PG or its equivalent for video games. Remember that we have younger students and rising 6th graders who are participating on Sunday and Monday. While it may be appropriate for an older student or it may even be something that parents would allow for their children, we have set the standard for Student Ministry and ask that it be honored.
